Call Your Own Hotel Tonight: What a 10-Minute Mystery Guest Test Reveals

Call your hotel at 20:00, after 23:00 and in another language, then WhatsApp it at midnight. What guests really hear, and how Heyhotel closes every gap.

The quickest way to see what your hotel loses every night is to become your own guest. Tonight, call your hotel from your mobile at the dinner rush, again after 23:00 and once more in a language your team doesn't speak, then send it a WhatsApp message at midnight. Ten minutes is enough to hear exactly what your guests hear, and the answer is rarely what managers expect.

How do you run the test?

Make the first call at 20:00, when check-ins and the restaurant are at their busiest, and ask for a double room for next weekend. Make the second call after 23:00 and ask the same thing. For the third, call in German, Arabic or Russian, whichever language your guests use most and your team speaks least, and ask about the cancellation policy. For the fourth, say you are the guest in room 214 and you need another blanket. Finally, at midnight, send a WhatsApp message asking whether you can bring a small dog.

Each time, notice four things. How many rings before someone answered. Whether you got a real answer or a promise to call back. Whether you could have booked without being sent somewhere else. And, for the message, how long the reply took.

What do hotels usually hear?

At 20:00 the phone rings seven times and drops into a voicemail recorded two seasons ago. Or someone answers out of breath, asks you to hold, and the hold lasts two minutes. After 23:00 the night receptionist picks up in the middle of a check-in and promises that reservations will call you in the morning. In German, the receptionist switches to English, then apologises and asks you to send an email. The blanket for room 214 arrives forty minutes later, or never, because nobody wrote it down. The WhatsApp message gets its blue ticks at 09:15.

None of this means the hotel is badly run. It means the hotel has more guests than hands at exactly the moments guests reach out.

The research says the same. When the Marchex Institute analysed 5.8 million calls to 13 US hotel brands, 14% went unanswered or were abandoned (Hospitality Technology). Answering is only half of it. In a study of 4,400 recorded calls to hotels, simply offering to secure the reservation made a caller 4.4 times more likely to book (Hospitality Net), yet front desk agents in the same study asked for the sale only 52% of the time (Hotel Online). And speed decides who wins. A Harvard Business Review study of lead response found that companies replying within an hour were nearly seven times as likely to have a meaningful conversation with the customer as those replying an hour later (HubSpot).

What would the same test sound like with Heyhotel?

At 20:00 our Voice Agent answers on the first ring, checks next weekend in your PMS, quotes the rate and, because the integration is certified with write access from the first day, books the room and sends the confirmation while you are still on the line. After 23:00 the answer is exactly the same, because the agent works the night the way it works the day. In German, it answers in German, explains the cancellation policy from the wording your hotel has approved, and switches with you if you change language halfway through. The midnight WhatsApp message is answered at midnight, with the pet policy and, if you want it, a booking.

And when a real guest calls from room 214, the agent greets her by name, in her own language, because the PMS knows who is staying in that room. The blanket becomes a task for housekeeping before she has put the phone down, and she hears when it is on its way.

Behind every answer is something you can check yourself. In the Heyhotel dashboard every call and message is classified by topic, with its recording and transcript, so you can rerun this test any night and hear exactly what happened. When a call needs a person, the agent hands it over at the right moment with a summary, and your team can follow live conversations and step in whenever they choose.

What should you do with the results?

If even one of the four calls rang out or ended with “we'll call you back”, that is revenue your hotel is losing tonight, and it is exactly where an agent pays back first. Many hotels go live on every channel from the first day. Others start with a focused role, such as the night hours or calls that ring three times without an answer, and then move to round-the-clock coverage.

There is also a faster way to see the difference. Heyhotel can build a first demo agent from your website and listings, so you can run the same four calls against your own hotel's agent before anything goes live.

Frequently asked questions

Won't my team feel tested?

Tell them in advance. The test is about the hours when there are more guests than hands, not about people, and the results usually make the case for giving the team support.

How often should we repeat it?

Once a season is enough to see patterns, and again after any change in staffing. With Heyhotel the dashboard shows every call and message anyway, so the test becomes a habit rather than an event.

Can we test Heyhotel the same way?

Yes. Ask us for a demo built from your own website, then call it at 20:00, after 23:00 and in any language you like.

Want to hear the other side of the call? Tap “Let me call you” on heyhotel.ai and answer in any language you like.
