Hotel PMS Integration for AI Agents: Why “We Integrate” Is Not Enough

An AI agent is only as useful as the systems it can reach. What PMS, CRS, POS and CRM each give it, and why “we integrate” alone says very little.

An AI agent is only as useful as the systems it can reach. Connected to the PMS, it sees availability for the guest's exact dates, creates the booking and knows who is staying in room 305. Connected to the POS, CRM and task tools, it takes orders, recognises returning guests and sends requests to the right team. Without those connections, even the best-spoken agent can only promise that someone will call back. Heyhotel connects its agents to the hotel's systems with exactly the read and write permissions the hotel chooses.

What goes wrong when the agent can't reach your systems?

An agent working from availability copied in the morning offers a sea-view room for Saturday. The room sold on an OTA at 14:00. On Saturday afternoon the guest arrives at a hotel that has no room for her.

Another agent can read availability but cannot write to the PMS. At 23:40 a guest is ready to book, so the agent takes her details and promises a call back. Reservations calls at 09:30. She booked somewhere else at midnight.

Room 305 calls reception at 22:00. With no link to the PMS, the agent has to begin with “Could I have your name and room number?” With one, it answers “Guten Abend, Herr Weber” before he has said a word, because it knows who is in 305 and where he is from.

A room service order is taken perfectly, then typed into a staff messaging group, where it waits behind forty other messages. With the POS connected, the same order lands in the kitchen and the charge goes to the room.

Hoteliers feel this every day. In the 2026 Hotel Technology Outlook from NYU's Tisch Center of Hospitality, 38% of respondents named integrations as a top daily operational pain point (Hospitality Net). In a 2026 global survey by RoomPriceGenie and the PMS provider RMS, 83% of hospitality professionals reported tech-related operational stress, and the survey traced the cause to how well systems work together rather than how many there are (RoomPriceGenie).

What does each system do, and what can an agent do with it?

SystemWhat it isWhat an agent readsWhat an agent writes
PMS (property management system)The hotel's operational core, with rooms, reservations, in-house guests and foliosAvailability, a reservation, the guest in a given roomA new reservation, a change, a note
CRS (central reservation system)Central rates and inventory, common in groups and chainsRates and availability across propertiesA booking
Channel managerSends rates and availability to OTAsRarely neededNormally nothing
Booking engineThe booking flow on the hotel websiteNothingA link with the dates and room already filled in
POS (point of sale)Restaurant, bar and room service salesMenu items, options and pricesAn order, or a charge to the room
CRMGuest profiles, preferences and contact consentHistory, preferences, nationality, consent statusA conversation summary, survey answers
Task or ticket toolHousekeeping, maintenance and service workTask statusA new task for the right team
Phone system (PBX)The hotel's phone linesWhich room a call comes from, routing rulesA transfer to a colleague

For every row, ask two questions. What can the agent read, and what can it write?

Why does “we integrate with your PMS” say so little?

Because the same PMS can be connected in very different ways. One integration only reads availability. Another creates bookings but cannot change them. A third can also find the guest in a room, post a charge or open a task. So ask for a precise answer. Can the agent read rates and availability live? Can it create a booking, and change or cancel one? Can it find the guest staying in a given room? Can it post a charge to the room or open a task for housekeeping?

That is why certification matters. A certified integration has been built to the system provider's standard and approved by them. Ask whether the connection is certified, live at hotels today and able to write from the first day. Heyhotel's integrations are all three.

Freshness matters just as much. Availability has to be read at the moment of the quote, and the booking confirmed by the system when it is written. An agent that works from a copy made an hour ago will sooner or later sell a room that is already gone.

How does Heyhotel connect its agents?

Heyhotel connects through certified integrations with a wide range of PMS, CRS, CRM and POS systems, alongside task tools and hotel phone systems, and adds new ones as hotels need them. Our agents work with write access from the first day. They read availability live at the moment of the quote, create and change bookings, and tell a guest a booking is confirmed the moment the hotel's system has accepted it. You decide which actions they complete on their own.

That is what makes the rest possible. Because the agent knows who is in each room, it can greet a caller by name in their own language and make a courtesy call ten minutes after check-in. Because it can open tasks, “two towels for 412” becomes a job for housekeeping with a status the guest can follow. If a connected system stops responding, the guest hears the truth and the request goes straight to a person.

Frequently asked questions

Does the agent get write access to my PMS?

Yes. Heyhotel connects through certified integrations, and our agents work with write access from the first day. They create, change and cancel bookings, add notes and open tasks right away. You decide which actions they complete on their own and which go to a person for approval.

What if our PMS isn't connected yet?

We connect it. Heyhotel adds new integrations as hotels need them, and our team works through the details with your PMS provider during setup.

What happens to guest data the agent sees?

Heyhotel works under a data processing agreement with each hotel and uses guest data only to deliver the service. Access is limited to the permissions the hotel grants.
