The Concierge That Never Clocks Out: Transfers, Spa and Dinner in One Conversation
A couple wants an airport pickup, a massage and an anniversary dinner. How Heyhotel's AI concierge books all three in one conversation, in their language.
Monday, 22:10. Giulia Rossi is planning a surprise for her tenth wedding anniversary and writes to the hotel on WhatsApp. They land on Thursday at 14:20. Could someone pick them up from the airport? Could they have a couples massage on Friday afternoon, and a special table on Friday night?
The message waits until morning. At 09:30 reception replies that it will check with the spa and the transfer company. The spa answers after lunch with two times, but by the time reception passes them on, one is gone. The transfer company needs the flight number, so there is another message and another wait. By Wednesday evening Giulia has three half-finished conversations and no confirmed driver. She books a taxi through an app and a massage at a day spa in the old town. The hotel sold the room and lost everything around it.
That is the part hotels rarely count. Giulia was not asking for a discount. She was asking to spend more money with the hotel, and nobody was free to take it.
She is not unusual either. SiteMinder's Changing Traveller Report 2025 found that 34% of luxury and boutique hotel guests are willing to pay for airport transfers, while 43% are drawn to spa treatments and the same share to gourmet food and drink experiences (LH Magazine). In an Oracle Hospitality and Skift survey of 5,266 travellers, 74% said they were interested in hotels using AI to deliver more relevant offers (Oracle).
What does an AI concierge actually do?
It takes several arrangements in one conversation, books each one in the system that owns it, and tells the guest exactly where every one of them stands. It already knows how transfers, treatments and tables work in any hotel, and it learns your prices, partners, menus and opening hours before its first conversation. Heyhotel's integrations are certified, and the agent writes bookings into the hotel's systems from day one.
How does the same Monday go with Heyhotel?
Giulia's message at 22:10 is answered within seconds, in Italian. The agent sees three requests in one message and works through them one by one, without asking her to repeat anything.
For the transfer, it asks for the flight number, the number of passengers and the amount of luggage, quotes the hotel's approved price and sends the booking to the transport desk or the hotel's transfer partner. It tells Giulia that the driver's name and the meeting point will reach her before arrival. It never presents anything as confirmed before it is, and that is exactly why guests trust what it says.
For the massage, it reads the spa schedule and offers real times, Friday at 16:00 or 17:30. Giulia picks 16:00, and the treatment is booked while she is still typing her thanks.
For dinner, it books a table for two at 20:00 in the hotel restaurant, mentions the dress code, adds the anniversary to the reservation and checks that nothing clashes with the massage, which ends at 17:00. Because it is an anniversary, it also asks whether she would like flowers or a cake waiting at the table, from the hotel's own list of extras and at the hotel's price.
Before she goes to sleep, Giulia has a single message in Italian that sums up the weekend, with the pickup, the massage, the table and the cake. On Wednesday a pre-arrival message brings the driver's name and the meeting point.
What happens once the guests arrive?
About 10 minutes after check-in, the agent calls the room in Italian to ask whether everything is as expected, reminds the couple of the massage at 16:00 and the table at 20:00 tomorrow, and asks whether there is anything else they need.
On Saturday at 09:15 Marco calls reception from the room. The hotel's PMS shows who is staying in the room and where they are from, so the agent answers him by name, in Italian. He would like a boat trip for the afternoon and a late checkout on Sunday. The agent suggests two trips from the list the hotel has approved, passes his choice to the concierge desk with the times he prefers, and writes the late checkout into the PMS at the hotel's price. If the couple switches to English halfway through, the agent switches with them. It works in more than 35 languages.
Some requests deserve a person. A marriage proposal on the terrace, a transfer for a guest who uses a wheelchair, a complaint about the boat operator. The agent hands these to the right colleague at the right moment, with a summary of what the guest wants, and the dashboard keeps the full conversation with recording and transcript, so nobody has to ask the guest to start over.
When should an AI concierge suggest extras?
When the suggestion is relevant, available and welcome. Breakfast in the room after a late arrival makes sense. Flowers on an anniversary make sense. A paid upgrade offered to a guest who has just complained does not. Heyhotel's agent offers only what the hotel's systems show as available, at the hotel's own price, which is the same rule it follows for rooms.
What does the hotel see?
Every conversation lands in the dashboard, classified by topic. Over time the hotel sees which services guests ask for most, on which days transfer requests pile up and when spa demand peaks. This is where communication becomes operations, because the requests themselves tell the spa when to add a therapist and the transport desk when to keep a car free. Whenever the team wants to, they can watch a conversation live and step in.
Frequently asked questions
Can an AI concierge recommend places outside the hotel?
Yes, from a list the hotel has approved. If a recommendation is a paid partnership, the guest is told.
What if the spa is fully booked?
The agent offers the nearest available times or another day, and adds the guest to a waiting list if the spa uses one.
Can guests change their plans by phone during the stay?
Yes. They can call from the room or from outside, at any hour. The agent answers in their language and updates the booking in the right system.
How does the guest know the transfer is confirmed?
As soon as the transport desk or partner assigns a driver, the agent sends the driver's name and the meeting point before arrival, in the guest's language.
