AI Phone Answering for Restaurants: Who Picks Up During the Dinner Rush?

It's 20:05 on a Friday and the phone keeps ringing. Real scenes, no-show data and how Heyhotel's Voice Agent books tables and takes orders mid-rush.

The busiest hour in a restaurant is also the hour nobody can answer the phone. Every call that rings out is a table, a takeaway order or a private event that goes to the place down the street. Heyhotel's Voice Agent answers every call in the caller's language, books tables in the restaurant's reservation system, takes orders and reads them back, and hands the calls that need a person to the right one, while the team keeps serving.

What happens to the phone on a Friday night?

At 20:05 the host is seating a party of six when the phone rings. A couple wants a table for two at 21:30. It rings eight times and stops. Two minutes later they have a table at the place across the square.

At 20:20 a tourist calls in English to ask whether the kitchen can make the pasta gluten-free. The waiter who picks up is holding three plates. He says “I think so” and hangs up. For someone with coeliac disease, “I think so” is the wrong answer.

At 20:40 a takeaway order is dictated over the noise of the dining room. Two pizzas, one without onions, a salad and extra sauce. The ticket that reaches the kitchen has onions on both pizzas.

At 21:10 someone asks about the private room for 25 people next month. The manager is on the floor and asks them to call back tomorrow. They don't.

Guests still pick up the phone. In SevenRooms research, 45% of diners said they would call a restaurant directly to book a table (FSR Magazine). And the table lost to an unanswered call is not the only one that stays empty. Resos analysed 3.77 million reservations at 2,417 restaurants and found that no-shows run higher at dinner than at lunch, 2.63% against 1.84%, while reservations that received a reminder showed a 16% lower no-show rate (Resos). OpenTable puts the average cost of a single no-show for a table of two in the UK at £55.70 (Restaurant Online).

How does Heyhotel's Voice Agent handle the rush?

Play the same evening again.

At 20:05 the couple's call is answered on the first ring. Our Voice Agent checks 21:30, offers 21:45 if 21:30 is taken, books the table in the reservation system and sends a confirmation by message. The host never looks up from the party of six.

At 20:20 the tourist hears, in English, which dishes the approved menu marks as gluten-free. Because she mentions an allergy, the agent never promises that a dish is free of it. It passes the question to someone who can check with the kitchen and tells her exactly that.

At 20:40 the takeaway order is taken item by item, “no onions” and “extra sauce” included, and read back in full before anything is sent. It goes straight to the kitchen through the POS, and the guest hears that the order is in the kitchen the moment the POS accepts it.

At 21:10 the agent recognises an event enquiry and does what a good host would do. It collects the date, the number of guests, the budget and any menu wishes, then hands everything to the events manager at the right moment, with a summary and the full conversation. The proposal goes out the next morning without a single question being asked twice.

The day before each booking, guests who have agreed to be contacted get a short confirmation call or message with an easy way to cancel, so a table that would have stood empty goes back on sale. The same agents answer phones for bars and beach clubs too, where VIP tables, minimum spends and door policies make the rules more complex.

Which calls go to a person?

Our agents know when a call needs a person, and they hand it over at that moment rather than after a struggle. A serious allergy question goes to someone who can check with the kitchen. A complaint about tonight's meal goes to the manager. A private event goes to whoever writes the proposal. Any guest who simply asks for a person gets one. Each handover arrives with a summary, and in the Heyhotel dashboard the team can open the whole call, recording and transcript included.

How do you know the phone is earning its keep?

Compare service hours before and after. Look at how many calls were answered between 19:00 and 22:00, how many tables the agent booked and how many of those guests showed up, how many orders reached the kitchen and how many the kitchen had to change, and why calls were handed to the team. Heyhotel's dashboard classifies every call by topic and reports bookings and no-shows, so you can see what callers want most, and when.

Frequently asked questions

Does it work with our reservation system?

Yes. Heyhotel works with the leading restaurant reservation platforms through certified integrations, and the agent checks availability and books, changes or cancels tables directly. If you use a platform we haven't connected yet, we can integrate it.

Can it take orders with changes, like “no onions”?

Yes, as long as the menu is set up with its options and prices. The agent reads the full order back before sending it.

What if the restaurant is inside a hotel?

Then one agent covers both. It can answer a question about the room and book a table at the restaurant in a single call.
