Every Unanswered WhatsApp Message Is a Hotel Booking Going Cold

Guests would rather message than call, and WhatsApp is where they are. What a slow reply costs, the 24-hour rule, and how Heyhotel answers every message.

More and more guests would rather send a message than make a call, and for most of the world that message goes to WhatsApp. It's quick, it fits around their day, and it works across time zones and languages. But a message comes with an expectation. The guest wants an answer while they're still holding the phone. When the reply arrives hours later the moment has passed, and the booking has usually gone somewhere else.

Do guests really prefer messaging a hotel to calling it?

The surveys say so. In a LivePerson study of 2,000 Americans, 73 percent said they prefer messaging to calling when making a hotel, airline or other travel reservation, rising to 90 percent among 18 to 23 year olds (LivePerson). A 2025 eviivo survey of travelers worldwide found that 58 percent prefer to communicate with accommodation providers by SMS, WhatsApp or email links (eviivo). And WhatsApp itself now has more than three billion monthly users, according to Meta (Newsquawk). For international guests in particular, a hotel's WhatsApp number is often the first door they knock on.

What happens when a WhatsApp message goes unanswered?

Picture a couple in Amsterdam planning a long weekend. At 22:15 they write to two hotels on the same street to ask whether a sea-view room is free for the second weekend of May. One hotel replies in under a minute with the price and a question about breakfast. The other replies at 11:00 the next morning. By then the couple has already booked, and they never read the second reply.

The delay can cost more than one booking, too. WhatsApp lets a business reply freely only within 24 hours of the guest's last message. After that, Meta allows only pre-approved template messages (Meta for Developers). A message left too long can turn into a conversation the hotel is no longer allowed to continue naturally.

What does a good WhatsApp booking conversation look like?

Here's a typical exchange with a Heyhotel agent. The guest writes at 21:47, “Hi, do you have a room for two adults next weekend? With breakfast.” The agent replies straight away and pins down the dates, because “next weekend” can mean two different things. “Happy to check. Do you mean Friday to Sunday, two nights?” The guest confirms and asks for a sea view. The agent checks live availability and replies with the sea-view double, breakfast included, the total for two nights and one alternative. The guest says yes, and a moment later receives a booking number, the cancellation terms and, if a guarantee is needed, the hotel's secure payment link. The whole thing takes about three minutes.

If the hotel prefers its reservations team to confirm bookings, the agent collects every detail and tells the guest exactly when confirmation will arrive. Either way, the guest always knows whether they have a request, an offer or a confirmed booking.

What about guests who are already staying?

WhatsApp doesn't go quiet after the booking. Once guests arrive, it becomes the easiest way to reach the hotel without walking down to reception or waiting on the phone. A guest in room 412 writes at 23:10 asking for two more towels. Another asks at 08:30 whether they can keep the room until 14:00. Someone else says the air conditioning is making a noise, and a couple would like a table for two at the hotel restaurant tonight.

Heyhotel's agents handle all of it in the same chat. The towel request goes to housekeeping with the room number, the late checkout goes to the front office for approval, and the air conditioning goes to maintenance as a ticket. The agent books the table or the treatment directly in the restaurant or spa system. The guest is told honestly where each request stands, from received to on its way to done, and the team sees every request in one place instead of scattered across phones and notes. Anything urgent, from a health concern to a safety issue, goes straight to a person.

How does Heyhotel run WhatsApp for hotels?

Heyhotel connects to the hotel's number on the official WhatsApp Business Platform. From then on, our Text Agents answer every message the moment it arrives, day and night, in the guest's own language. They send room photos, quote live prices, create bookings in the reservation system, and pass in-stay requests like extra towels or a late checkout to the right team. Pre-arrival details and reminders go out as approved templates, so they still arrive after the 24-hour window has closed. Whenever a guest needs a person, the conversation moves to your team with the full chat history, so nobody has to ask the same question twice.

The same agent works on the phone, in website chat and on Instagram too, so a guest who messages today and calls tomorrow gets the same answer.

Frequently asked questions

Is it allowed to use AI on a hotel's WhatsApp?

Yes, through the official WhatsApp Business Platform and with guests who have chosen to message the hotel. Unofficial tools that log into a personal WhatsApp account put the number at risk.

Can guests pay through WhatsApp?

The agent sends the hotel's secure payment or guarantee link. Card details should never be typed into a chat.

What if a guest replies after 24 hours?

Their new message opens a fresh window, and the agent picks up the conversation with all the earlier context.
