What Your Guests Said Last Night: The Hotel AI Dashboard That Turns Conversations Into Decisions
1,400 guest conversations over a weekend, and Monday's meeting runs on memory. How Heyhotel's dashboard turns every call and message into decisions.
It is Monday, 08:30, and the weekly meeting starts with the general manager's favourite question. How was the weekend? The front office manager thinks for a moment. Busy. A lot of calls about the pool hours, she thinks. A few complaints about parking. The revenue manager wants to know how many guests asked for a family room in August and could not get one. Nobody knows. The night receptionist's note says room 312 called about noise, twice, but not what happened next.
Over that weekend the hotel had around 1,400 conversations with guests, on the phone, on WhatsApp, on Instagram and on the website, in a dozen languages. Monday's decisions are being made from three people's memories and a sticky note.
This is still how most hotels run. In Otelier's 2026 Hotel Operations Index, 91% of hotel owners and operators said they still rely on some level of manual reporting, and only 15% were very confident that their operational data is accurate and timely (Hospitality Net). Even in large contact centres, only 1% to 2% of calls are ever evaluated, by one estimate (TechCrunch). A conversation nobody listens to cannot change anything.
What does Heyhotel's dashboard show?
Every conversation the agents have, in one place. Calls, WhatsApp, Instagram and website chats, in any of more than 35 languages, each with its recording or transcript, and every handover with the summary the team received. Nothing has to be written down at the end of a shift, because the conversation is the record.
Each conversation is classified by topic as it happens. Booking requests, questions about the pool, parking, late checkout, spa, transfers, complaints. So the Monday meeting starts differently. Pool hours came up 212 times, mostly from families on Saturday morning. There were 38 parking complaints, nearly all on Saturday evening when the wedding guests arrived. Sixty-one guests asked for a family room in August and were offered something else. Room 312's two calls are there too, with recording and transcript, along with the summary the duty manager received at 23:40.
Can the team ask the dashboard questions?
Yes, in plain language. The report assistant answers questions like “How many guests asked about late checkout last week, and in which languages?” or “Which complaints came up more than five times this month?” without anyone building a report. Teams can also add their own topics, such as a renovation or a new restaurant opening, and follow them week by week.
Who checks the quality of the conversations?
Heyhotel evaluates every live conversation, not a sample. When a guest repeats a request that has not been solved, or sounds frustrated, the agent hands over to a person, and those conversations stand out for the team. Whenever they want to, managers can watch a conversation live and step in.
What does the hotel do with what it sees?
This is where communication becomes operations. If pool hours keep coming up, the website is probably wrong, and the team can update the information the agent uses, test the change and publish it after approval. If parking complaints cluster on wedding nights, the valet rota changes. If family rooms sell out months ahead, the revenue manager has a number to work with instead of a feeling. Restaurants see reservations, no-shows and capacity the same way.
Think of the agent as a colleague who keeps perfect notes. It knows which questions matter in a hotel, and the dashboard lets the whole team see what it heard.
Frequently asked questions
Does the dashboard show calls and messages together?
Yes. Phone calls and written conversations from every connected channel appear in one place, classified by the same topics.
Can we listen to a call afterwards?
Yes. Every call has its recording and transcript, and every handover keeps the summary the team received.
Do we need someone to build reports?
No. The report assistant answers questions in plain language, and teams can add the topics they want to follow.
Is quality checked on a sample of conversations?
No. Every live conversation is evaluated, and conversations where a guest was frustrated or repeated a request stand out.
